From sample to series production

Turn sample review into a documented decision that can guide subsequent orders.

A sample can help answer specific questions about fit, appearance or handling. Before arranging one, decide which questions it must resolve. A positive visual impression alone does not define the acceptance criteria for later deliveries.

Define the review before the sample

Connect the sample request to a part number and drawing revision. Agree which characteristics will be checked, by whom and using what method. Identify any representative mounting fixture or mating component needed for a meaningful fit assessment. Keep requirements that cannot be assessed on the sample visibly open.

Record observations consistently

Label each sample so results can be linked to the right item. Record measured dimensions, viewing conditions for appearance checks and the installation context. Photograph relevant details with an identifiable reference. Separate observations from acceptance decisions: a deviation noted during review is not automatically approved.

  • Use an agreed checklist for dimensions, appearance and fit.
  • Identify measuring equipment and reference points.
  • Record results against the stated acceptance criteria.

Resolve deviations and approve the reference

List each unresolved issue with an owner and the decision required. If the drawing or sample changes, assess whether affected checks must be repeated. Record approval in writing, including the exact revision, any expressly accepted deviations and the authorised approver. Store the reference sample or its documented identification as agreed.

Transfer the decision to repeat orders

Ensure purchasing uses the approved specification when placing the next order. Agree how future changes will be communicated and reviewed. Define the receiving checks and the information needed to report a discrepancy. A sample approval should have a clear scope; it does not by itself confirm every future batch or establish an unagreed production schedule.

Does accepting a sample approve every requirement?

Only the documented scope is approved. Unchecked characteristics and unresolved issues need separate decisions.

What if the installation changes later?

Review the affected fit and acceptance requirements, update the reference package and determine whether another sample assessment is needed.
